When you turn it on, SharePoint assigns a status\u2014such as <strong>Pending<\/strong>, <strong>Approved<\/strong>, or <strong>Rejected<\/strong>\u2014to each new or updated item. Until someone approves an item, most users cannot see it, or they only see the last approved version, depending on your permission settings.<\/p>\n\n\n\n<p>Here is a simple guide to SharePoint Online Content Approval. It inlcudes a couple of scenarios which you can use, to set up your content approval process:<\/p>\n\n\n\n<h3 class=\"wp-block-heading\">How to set up content approval<\/h3>\n\n\n\n<ol class=\"wp-block-list\">\n<li>Click on the gear icon on the right hand top corner, and choose <strong>Library Settings<\/strong> \u2192 <strong>Versioning Settings<\/strong>.<\/li>\n\n\n\n<li>Set <strong>Require content approval for submitted items?<\/strong> to <strong>Yes<\/strong>.<\/li>\n\n\n\n<li>Choose how versioning should work (major versions only, or major and minor versions).<\/li>\n\n\n\n<li>Configure <strong>Draft Item Security<\/strong> to decide who can see draft or pending items (example, only authors and approvers, or a wider audience).<\/li>\n<\/ol>\n\n\n\n<p>Open your SharePoint Online site and then go to the Document Library where you want to have content approval process for your content. Then, follow these steps:<\/p>\n\n\n\n<figure class=\"wp-block-image size-large\"><img decoding=\"async\" width=\"1024\" height=\"103\" src=\"https:\/\/www.ituziast.com\/wp-content\/uploads\/2026\/01\/versions-1024x103.png\" alt=\"\" class=\"wp-image-3342 no-lazyload\" srcset=\"https:\/\/www.ituziast.com\/wp-content\/uploads\/2026\/01\/versions-1024x103.png 1024w, https:\/\/www.ituziast.com\/wp-content\/uploads\/2026\/01\/versions-300x30.png 300w, https:\/\/www.ituziast.com\/wp-content\/uploads\/2026\/01\/versions-768x77.png 768w, https:\/\/www.ituziast.com\/wp-content\/uploads\/2026\/01\/versions-1536x155.png 1536w, https:\/\/www.ituziast.com\/wp-content\/uploads\/2026\/01\/versions.png 1549w\" sizes=\"(max-width: 1024px) 100vw, 1024px\" \/><\/figure>\n\n\n\n<p>Once content approval, you will see automatically, a new column shown in your library: <strong><em>Approval status.<\/em><\/strong><\/p>\n\n\n\n<figure class=\"wp-block-image size-full\"><img decoding=\"async\" width=\"996\" height=\"100\" src=\"https:\/\/www.ituziast.com\/wp-content\/uploads\/2026\/01\/status.jpg\" alt=\"\" class=\"wp-image-3343 no-lazyload\" srcset=\"https:\/\/www.ituziast.com\/wp-content\/uploads\/2026\/01\/status.jpg 996w, https:\/\/www.ituziast.com\/wp-content\/uploads\/2026\/01\/status-300x30.jpg 300w, https:\/\/www.ituziast.com\/wp-content\/uploads\/2026\/01\/status-768x77.jpg 768w\" sizes=\"(max-width: 996px) 100vw, 996px\" \/><\/figure>\n\n\n\n<p>Now, there are a few important follow-up steps to make sure it actually works the way you expect. Especially around <strong>who can approve content<\/strong>.<\/p>\n\n\n\n<p><strong>Who can approve the content?<\/strong><\/p>\n\n\n\n<p>In SharePoint, <em>approvers aren\u2019t added through a separate \u201capprover\u201d <\/em>field by default. Instead, approval rights come from <strong>permissions<\/strong>.<\/p>\n\n\n\n<p>Anyone with <strong>Approve<\/strong> permission can approve or reject content. <strong>Common approver roles:<\/strong><\/p>\n\n\n\n<ul class=\"wp-block-list\">\n<li><strong>Site Owners<\/strong> (this is by default)<\/li>\n\n\n\n<li><strong>Members<\/strong> (<em>if<\/em> they have been granted approval rights)<\/li>\n\n\n\n<li>A <strong>custom Approvers group<\/strong> (this is the recommended option. More info on creating SharePoint Online groups you may read here: <a href=\"https:\/\/support.microsoft.com\/en-us\/office\/understand-groups-and-permissions-on-a-sharepoint-site-258e5f33-1b5a-4766-a503-d86655cf950d?wt.mc_id=M365-MVP-5003006\">Understand groups and permissions on a SharePoint site &#8211; Microsoft Support<\/a>)<\/li>\n<\/ul>\n\n\n\n<p>Even when a person has approval rights, enabling content approval does not send notifications by default. This point is important to keep in mind. After you upload a document, it moves to <strong>Pending<\/strong> status, and you must notify the approver manually. The status remains <strong>Pending<\/strong> until someone approves or rejects the document. At this point, you can consider a few different scenarios.<\/p>\n\n\n\n<h2 class=\"wp-block-heading\"><strong>Stick to the default<\/strong> &#8211; basic scenario<\/h2>\n\n\n\n<p>This is the basic scenario. You enable content approval, which adds a status column to the library and allows users to upload documents. After uploading a document, users must inform the approver manually. If they don\u2019t, the system does not send any notifications. After you enable content approval in the document library, you can create a flow that triggers a process to send a notification or email to an approver or a group of approvers. For more information and a step-by-step guide, read here:<a href=\"https:\/\/learn.microsoft.com\/en-us\/power-automate\/get-started-approvals?wt.mc_id=M365-MVP-5003006\">Get started with Power Automate approvals &#8211; Power Automate | Microsoft Learn<\/a><\/p>\n\n\n\n<h2 class=\"wp-block-heading\">3. <strong>Work with Rules<\/strong><\/h2>\n\n\n\n<p>By default, Rules cannot connect to the Approval column, but you can use the following workaround if you want to avoid using Power Automate.<\/p>\n\n\n\n<p>In this approach, you create the approval process from the library settings, as explained earlier in this post. Next, alongside the Approval Status column, you manually create another column named <strong>Approval needed<\/strong>. This column is a Choice column with <strong>Yes<\/strong> and <strong>No<\/strong> options.<\/p>\n\n\n\n<figure class=\"wp-block-image size-large\"><img decoding=\"async\" width=\"1024\" height=\"111\" src=\"https:\/\/www.ituziast.com\/wp-content\/uploads\/2026\/01\/yes-and-no-1024x111.png\" alt=\"\" class=\"wp-image-3348 no-lazyload\" srcset=\"https:\/\/www.ituziast.com\/wp-content\/uploads\/2026\/01\/yes-and-no-1024x111.png 1024w, https:\/\/www.ituziast.com\/wp-content\/uploads\/2026\/01\/yes-and-no-300x33.png 300w, https:\/\/www.ituziast.com\/wp-content\/uploads\/2026\/01\/yes-and-no-768x84.png 768w, https:\/\/www.ituziast.com\/wp-content\/uploads\/2026\/01\/yes-and-no.png 1259w\" sizes=\"(max-width: 1024px) 100vw, 1024px\" \/><\/figure>\n\n\n\n<p>Now, after the choice column is created, we need a rule which will be triggered from this column. In this step, you define the rule details. Set the condition so that when <strong>Approval needed<\/strong> equals <strong>Yes<\/strong>, the rule sends an email notification.
