Whether it&#8217;s sending alerts or triggering actions, SharePoint gives you built-in options to set these up quickly. Unfortunately, the alerts are going away next year in July 2026, but here are the <a href=\"https:\/\/support.microsoft.com\/en-us\/office\/create-a-rule-to-automate-a-list-or-library-151ea008-7fa6-409b-b0bd-b04a3b3cacd5?wt.mc_id=M365-MVP-5003006\" target=\"_blank\" rel=\"noopener\">Rules<\/a>, which I personally find awesome! We use it in our team, to manage and follow the work in progress, so if you still haven&#8217;t tried, let&#8217;s go step by step:<\/p>\r\n\r\n\r\n\r\n<h4 class=\"wp-block-heading\">How to Create a Rule:<\/h4>\r\n\r\n\r\n\r\n<ol class=\"wp-block-list\">\r\n<li>Head over to your list or document library.<\/li>\r\n\r\n\r\n\r\n<li>Click <strong>\u201cAutomate\u201d<\/strong> in the top bar.<\/li>\r\n\r\n\r\n\r\n<li>Choose <strong>\u201cCreate a rule.\u201d<\/strong><\/li>\r\n<\/ol>\r\n\r\n\r\n\r\n<p class=\"wp-block-paragraph\">You&#8217;ll see a few trigger options like:<\/p>\r\n\r\n\r\n\r\n<ul class=\"wp-block-list\">\r\n<li>When a file is created<\/li>\r\n\r\n\r\n\r\n<li>When a file is changed<\/li>\r\n\r\n\r\n\r\n<li>When a column value is updated<\/li>\r\n\r\n\r\n\r\n<li>When someone else updates an item<\/li>\r\n<\/ul>\r\n\r\n\r\n\r\n<figure class=\"wp-block-gallery has-nested-images columns-default is-cropped wp-block-gallery-1 is-layout-flex wp-block-gallery-is-layout-flex\">\r\n<figure class=\"wp-block-image size-large\"><img decoding=\"async\" width=\"520\" height=\"207\" data-id=\"3112\" class=\"wp-image-3112 no-lazyload\" src=\"https:\/\/www.ituziast.com\/wp-content\/uploads\/2025\/07\/create-a-rule-1.png\" alt=\"\" srcset=\"https:\/\/www.ituziast.com\/wp-content\/uploads\/2025\/07\/create-a-rule-1.png 520w, https:\/\/www.ituziast.com\/wp-content\/uploads\/2025\/07\/create-a-rule-1-300x119.png 300w\" sizes=\"(max-width: 520px) 100vw, 520px\" \/><\/figure>\r\n<\/figure>\r\n\r\n\r\n\r\n<p class=\"wp-block-paragraph\">Just pick your trigger, choose a condition if needed, set who should get notified (for email alerts), and hit <strong>Create<\/strong>.<\/p>\r\n\r\n\r\n\r\n<figure class=\"wp-block-gallery has-nested-images columns-default is-cropped wp-block-gallery-2 is-layout-flex wp-block-gallery-is-layout-flex\">\r\n<figure class=\"wp-block-image size-large\"><img decoding=\"async\" width=\"672\" height=\"427\" data-id=\"3111\" class=\"wp-image-3111 no-lazyload\" src=\"https:\/\/www.ituziast.com\/wp-content\/uploads\/2025\/07\/create-a-rule-2.png\" alt=\"\" srcset=\"https:\/\/www.ituziast.com\/wp-content\/uploads\/2025\/07\/create-a-rule-2.png 672w, https:\/\/www.ituziast.com\/wp-content\/uploads\/2025\/07\/create-a-rule-2-300x191.png 300w\" sizes=\"(max-width: 672px) 100vw, 672px\" \/><\/figure>\r\n<\/figure>\r\n\r\n\r\n\r\n<p class=\"wp-block-paragraph\">&nbsp;<\/p>\r\n\r\n\r\n\r\n<h3 class=\"wp-block-heading\">Pro Tips for Smarter Rules<\/h3>\r\n\r\n\r\n\r\n<p class=\"wp-block-paragraph\">As your lists grow and you add more columns, your rule options will grow too. Here are a few things to keep in mind to avoid rule chaos and to successfully manage your rules:<\/p>\r\n\r\n\r\n\r\n<h4 class=\"wp-block-heading\">1. <strong>Know What You Want the Rule to Do<\/strong><\/h4>\r\n\r\n\r\n\r\n<p class=\"wp-block-paragraph\">Don\u2019t just create alerts for the sake of it. Make sure the rule serves a real purpose.<\/p>\r\n\r\n\r\n\r\n<blockquote class=\"wp-block-quote is-layout-flow wp-block-quote-is-layout-flow\">\r\n<p class=\"wp-block-paragraph\">Example: Send an email to the manager when someone submits a leave request.<\/p>\r\n<\/blockquote>\r\n\r\n\r\n\r\n<h4 class=\"wp-block-heading\">2. <strong>Be Specific<\/strong><\/h4>\r\n\r\n\r\n\r\n<p class=\"wp-block-paragraph\">Use filters so you&#8217;re not triggering alerts all the time.<\/p>\r\n\r\n\r\n\r\n<blockquote class=\"wp-block-quote is-layout-flow wp-block-quote-is-layout-flow\">\r\n<p class=\"wp-block-paragraph\">Example: Only notify when the status changes to \u201cApproved\u201d.<\/p>\r\n<\/blockquote>\r\n\r\n\r\n\r\n<p class=\"wp-block-paragraph\"><strong>Trigger<\/strong>: Item modified<br \/><strong>Condition<\/strong>: Status = &#8220;Approved&#8221;<br \/><strong>Action<\/strong>: Email the person who submitted the request<\/p>\r\n\r\n\r\n\r\n<h4 class=\"wp-block-heading\">3. <strong>Avoid Duplicates<\/strong><\/h4>\r\n\r\n\r\n\r\n<p class=\"wp-block-paragraph\">If you&#8217;re already using Power Automate for something, don\u2019t double up with a SharePoint rule. Keep your automation logic in one place.<\/p>\r\n\r\n\r\n\r\n<h4 class=\"wp-block-heading\">4. <strong>Narrow the Focus<\/strong><\/h4>\r\n\r\n\r\n\r\n<p class=\"wp-block-paragraph\">Don\u2019t apply rules to the whole list if only a folder or certain item types need them.<\/p>\r\n\r\n\r\n\r\n<blockquote class=\"wp-block-quote is-layout-flow wp-block-quote-is-layout-flow\">\r\n<p class=\"wp-block-paragraph\">Example: Only trigger a rule for files in the <strong>\/Invoices<\/strong> folder <em>and<\/em> when <strong>Status = Pending<\/strong>.<\/p>\r\n<\/blockquote>\r\n\r\n\r\n\r\n<h4 class=\"wp-block-heading\">5. <strong>Review and Clean Up<\/strong><\/h4>\r\n\r\n\r\n\r\n<p class=\"wp-block-paragraph\">Take time every few months to check your rules. Delete outdated ones, update contacts, and make sure everything still makes sense.<\/p>\r\n\r\n\r\n\r\n<blockquote class=\"wp-block-quote is-layout-flow wp-block-quote-is-layout-flow\">\r\n<p class=\"wp-block-paragraph\">Set a calendar reminder every quarter to:<\/p>\r\n\r\n\r\n\r\n<ul class=\"wp-block-list\">\r\n<li>Review active rules<\/li>\r\n\r\n\r\n\r\n<li>Delete ones you don\u2019t need<\/li>\r\n\r\n\r\n\r\n<li>Update rule owners or contacts<\/li>\r\n<\/ul>\r\n<\/blockquote>\r\n\r\n\r\n<hr class=\"wp-block-separator has-alpha-channel-opacity\" \/>\r\n\r\n\r\n<h3 class=\"wp-block-heading\">Wrapping It Up<\/h3>\r\n\r\n\r\n\r\n<p class=\"wp-block-paragraph\">The key to good SharePoint rules? Managing rules should include: keep them clear, useful, and well-maintained.
